Spreadsheet or Table Format .DOC files

Post by Eric » Wed Sep 27, 2006 8:24 am

When I mention a Spreadsheet or Table Format file, I'm talking about tabular data that has each field in a separate column and each record in a separate row, like you see in AccuZIP6 or Excel.

AccuZIP6 cannot currently open this type of file, or .doc files (Word documents) in general. But when you have a file in this format that you need to open in AccuZIP6, there's an easy way to get that file to open in AccuZIP6.

  • Open the .doc file in Microsoft Word.

Press CTRL+A to highlight the entire file.

Press CTRL+C to copy the file.

    Launch Microsoft Excel.

When the empty table appears on your screen, press CTRL+V to paste the contents of the .doc file into the blank Excel document.

When you spread our the fields, you'll see that in Excel, each field has its own column and each record has its own row. Your data is now in a perfectly formatted Excel file.
  • Pull down the File menu to Save As. Save the file as a csv or as an Excel Worksheet. Give the file a name and decide where you want to save it. Click Save.

Exit Excel and Word, and launch AccuZIP6. Choose the option to Open a List for the first time, or pull down the File menu to Open List.

In the Open Setup window of AccuZIP6, select the file that you created in Excel. The file will open successfully, and all you'll need to do is assign field names to your data and import it.

Your file is now ready for use in AccuZIP6!

=SUBSTITUTE(C2,CHAR(10)," ")

Paste this into the cell 2 of the first column that contains no info in the Excel file. Extend this among the entire column. Change the C in C2 to the column representing the address field. This assumes Row 1 is a header.
